key functionality includes :-
Full Customer and Membership Information
The system can hold full details on all memberships and customers.
Key information such as name, address including postcode, contact email addresses
and a wealth of additional information such as dates of birth and credit limits.
Alongside the customer details are held the membership information.
This includes details of membership start and expiry date, length of membership,
method of payment or renewal dates
Subscriptions Management
As well as memberships, the system can also accommodate subscriptions, information as
to what the customer has subscribed to, along with frequency and start and finish issues or mailings and
all price information can be recorded
Product and Event Details
The system holds its own Products database, which can be populated via an arbitrary system.
The database allows for product information to be held for subscriptions, information such as
the ERP product codes, descriptions and also product weights.
Events details can also be kept within the system. Information such as Event type, location, maximum
number of attendees etc. can be easily held.
Expiry, Renewals and Mailings
As the system holds a great deal of information such things as renewal or expiry notifications
are easy to manage, the system can be set to create a set of expiry warning letters at a designated
point of time in advance of the membership/subscription expiry date.
alongside this, letters can be easily produced for such things as promotions, birthday greetings,
forthcoming events etc.
Pricing and Invoicing
The system can hold all price information for a membership or a subscription, easy to maintain matrices
allow for membership fee updates and product price changes, also, the system can hold despatch price
information and can calculate distribution charges based on product quantity, weight and despatch method.
this allows for the system to create accurate invoices should this be required.
Integration
Although it can function as a stand alone system the Membership and Subscriptions Management system
can also integrate with most of today's ERP systems, typically customer and product information can be imported
to the main system and invoicing and/or order details can be exported.
The facility exists for information held in excel or access to be easily imported into the system for an initial
start point.
Technical Specification
Membership and Subscriptions Management is a PC server based software application, developed using the
latest Microsoft .Net framework and conforms to Total-e-Solutions clean screen philosophy,
the included database sits either on a SQL Server or MS Access platform, it can seamlessly interface to any
ERP manufacturing and accounting system running on PC, UNIX or AS/400 (i series) platforms, including JBA System 21,
JDE, SAP, SAGE and LAWSON.
